After you ship your bouquet, the next question is always the same: “Did it make it safely?” This guide walks you through exactly what happens when your flowers arrive at Wild Coast Flower Preservation—from delivery and check-in to photos, storage, and what to expect next—so you feel confident your memories are in good hands.

Why the Arrival Process Matters

Shipping or in-person drop off is only the first step. The moment your flowers are delivered, they need to be handled quickly and correctly to prevent damage, mold, or mix-ups. Our arrival process is designed to keep your bouquet safe, organized, and clearly tracked from day one.

Step 1: Delivery Day at the Studio

We receive multiple flower boxes every day. When your package is marked “Delivered,” it enters our intake workflow.

What you can do to help:

  • Track your package and keep an eye on delivery day

  • If tracking shows “Delivered” and you haven’t heard from us by the end of the day, reach out so we can double-check quickly that we have the package, that the email address is correct on the order and/or the messages are not going to spam.

Step 2: Check-In and Order Verification

Before anything else, we confirm your flowers match an active order.

We verify:

  • Order name

  • Order number

  • Contact phone number

This is why we require your order number on or inside the box. Flowers that arrive without an order number (or without an order placed) must be set aside until we can identify the sender.

Step 3: Unboxing and First Assessment

Next, our team carefully opens your package and evaluates the condition of the flowers as they arrived.

We look for:

  • Overall freshness of the flowers

  • Packing conditions follow our packing instructions

  • Moisture issues (water, wet napkins, plastic bags) that can cause mold

If we notice anything that could impact results, we’ll flag it early so you understand what’s happening and what options you have.

Step 4: Photos and Your Arrival Update

After assessment, we document your bouquet with photos and send you an update. This is your confirmation that:

  • Your flowers arrived

  • They were checked in correctly

  • They’re safely in our care

If you don’t receive your update right away, it doesn’t mean something is wrong. It usually means we’re processing a high volume of deliveries that day. 

Step 5: Sorting and Safe Storage

Once checked in, your flowers are labeled and stored safely until they move into drying.

Your bouquet is kept:

  • Organized by date order

  • Protected from crushing

  • In a temperature-controlled environment that supports preservation quality

Step 6: What Happens Next (High-Level Timeline)

After arrival, your flowers typically move through:

  1. Drying (often 8–12 weeks depending on flower type and volume)

  2. Design queue and design approval

  3. Resin casting and curing

  4. Finishing and quality checks

  5. Final photos and shipping back to you

We’ll keep you informed as your order progresses, and we’ll reach out when your input is needed (especially during design).

Common Arrival Questions

“My tracking says delivered. Why haven’t I heard from you yet?”

We process all arrivals the day they’re delivered, but during busy weeks we may be checking in dozens of boxes. If you don’t hear from us by end of day, message us and we’ll confirm.

“What if I forgot to include my order number?”

Reach out as soon as possible with your name, order number, and tracking number. We’ll do our best to match your package quickly.

“What if my flowers arrived warm, wilted, or bruised?”

That’s more common than people think, especially in hot weather or if shipping is delayed. We’ll assess what’s usable, talk you through realistic expectations, and recommend options like partial replacement or color correction if needed.

Pro Tips for a Smooth Arrival

  • Our priority overnight shipping label can truly save you money! If you are quoted an astronomical amount at the shipping counter, remember that have a flat-rate label available! 

  • Ship Monday–Thursday whenever possible

  • If shipping on a Friday, only send via UPS Guaranteed Saturday delivery.

  • Avoid shipping on weekends and holidays

  • Pack dry only (no water, wet napkins, or plastic)

  • Include your order name, order number, and phone number on or inside the box

  • Send us your tracking number in a message so we can search it if needed
